Data Management and Maintenance
At One Health Insights, we take to heart the concept of implementing data-driven public health programming. For us, it’s not just good practice, it’s a key pillar of our company. Use Your Data. Improve Lives.
This philosophy naturally leads us to collect, manage, and report on a broad range of health information, including data that may be sensitive. Accordingly, One Health Insights treats data security as a top priority and has implemented the following protocols to safeguard and manage health information.
Our team is committed to minimizing the collection and storage of confidential or sensitive information. When identifiable health information must be collected, we limit it to the minimum necessary to fulfill the intended purpose. Consistent with HIPAA requirements, access to this information is restricted to only what is necessary to perform specific job responsibilities.
To maintain HIPAA compliance and safeguard confidential records, OHI utilizes a HIPAA-compliant file-sharing platform. The system supports secure storage, access, and transmission of sensitive information using AES-256 encryption. User access is centrally managed by OHI, with role-based, password-protected permissions in place.
When a project involves the collection of potentially sensitive information, our team proactively plans for how the data will be de-identified and/or aggregated to remove personally identifiable elements. Data are then stored and maintained in accordance with our contractual obligations. At the conclusion of the project – or at another mutually agreed-upon time – OHI securely transfers all sensitive and confidential information back to our partners and permanently removes those records from our systems.
Before developing any data products – such as analyses, dashboards, or reports – we collaborate with our partners to establish appropriate data suppression thresholds. These safeguards ensure that project data are not presented at a level of detail that could result in the identification of individuals.
